Visitor Badging Monitoring Process
On Jan. 6, Public Safety and Volunteer & Visitor Services will start the first phase of enhancements to our visitor badging management process. At that time, all visitors to inpatient units will be required to check in at a guest attendant station upon entering the hospital.
Who needs to obtain a visitor badge?
All visitors over 18 to an inpatient unit at the Akron or Boardman campus will require a visitor badge. Badges will expire after 24 hours, and visitors will be required to go to a guest attendant desk to replace their expired badges.
Where is a visitor badge obtained?
Akron Campus
- MHB 2nd floor entrance
- MHB 3rd floor atrium

- KJP 1st floor
- KJP 3rd floor
Boardman Campus
- D Lobby
Starting in February 2025, self-service kiosks will be available to use at the 3rd floor Exchange Deck (Akron) and D Lobby (Boardman) after hours only.
How is a visitor badge obtained?
Visitors will present a driver’s license or state ID to a guest attendant at one of the above locations.
How long is the visitor badge good for?
Each visitor badge will expire after 24 hours of being printed. There will be a visual indicator when the badge is no longer valid.
What types of identification are acceptable?
Any state ID or state driver’s license
Can a visitor badge still be obtained without identification?
Visitors will be asked to provide any state issued ID or driver’s license. If they do not, the guest attendant will enter their information manually into the system.
Is a photo required on the visitor badge?
Yes, it is required that all visitor badges have a photo on them. Those with religious exemption will be handled with respect to their beliefs, while meeting the needs of ensuring the safety of the organization.
Religious Exemptions?
Complete the badge process without taking a photo of the person per their religious exemption request.
Do vendors need to obtain a visitor badge?
Vendors will continue to check into the hospital using the Vendormate system and have their Vendormate pass printed by the Vendormate printers. Vendors that are not in Vendormate will need to contact their sponsor.
What units are using the visitor management system?
All inpatient units at the Akron and Boardman campuses.
Why is an ID required to obtain a visitor badge?
It is best practice to properly identify individuals visiting a children’s hospital and will streamline check-ins for return visitors. An ID card is required to verify identity and screen through the national sex offender database. This is for the safety of our patients, their families and staff.
A visitor badge expired mid-day. Can the visitor wait until morning to get a new badge?
Visitors should return to the guest attendant desk to receive a new badge when they see their current one has expired.
How long does the check-in process or reprinting take?
The check-in process for a first-time visitor should take one minute or less. A returning visitor will take less time.
Where should the visitor badge be worn?
Visitor badges must be visible at all times and be placed on the front of the visitor, on the left or right side of the chest area, and NOT on outer garments.
Can a visitor opt to not have their photo/info printed on the badge?
No, there is no ability to customize the badge.
Does an employee visiting an admitted friend or family member need a visitor badge?
Yes.
A visitor is seen on unit without a badge, what must employees do?
It is the responsibility of all employees to advise visitors without a badge to return to the guest attendant to check in.
Is this similar to the systems that check visitors into schools?
Yes! Electronic visitor management is best practice for educational and health care facilities.
Is the National Sex Offender database real-time and always up to date?
Results are based on a 3rd party that updates information they receive from the court systems. This system is updated daily.
Is visitors’ information secure in the visitor management system? What do you do with personal information once you are done with it?
All information systems at the hospital must pass a rigorous cybersecurity test to ensure that information is secure in the system. If there is a breach, we can pull the connection from Fast Pass or Fast Pass can terminate their connection to us if we report a breach.
